Ensuring a smooth handover between Trustees

We were appointed as both Trustee and Scheme Secretary where the US-based Principal Employer closed all UK sites, making all staff redundant.

We worked with the ceding Trustees to ensure we fully captured their knowledge, creating dashboards including key information and data, as well as fact files of legacy information. As part of this process, members of the IGG team spent a week at the company’s head office, collating significant volumes of original scheme documentation and member files to ensure these important records were not lost in the site closure.  We undertook not only indexing of the documentation but arranged for it all to be digitally recorded and then uploaded to a secure site, and original Scheme Governing documents to be safely stored.

We invited the ceding Trustees to join a Pensions Consultative Committee to ensure that, whilst no longer Trustees, their first-hand knowledge of the scheme was not lost.

All of these measures ensured the ongoing governance of the scheme remained robust and, importantly, that members felt reassured during the transition period.
